Safeguarding Policy

As an Emotional Wellbeing Practitioner working across a range of settings — including schools, care homes, alternative provision, online, and in my own garden-based hub — I am fully committed to safeguarding children, young people, and vulnerable adults. I am the Designated Safeguarding Lead (DSL) for my service, hold a valid DBS, and maintain regular training in line with local and national guidance.

Before beginning any therapeutic work, I will always assess whether this type of support is right for the client at that time. My aim is to make sure the individual receives the most appropriate care — whether with me or another service. If external agencies such as social care, CAMHS, school-based mental health teams, or safeguarding professionals are already involved, I will ensure they are informed (with consent) that I am providing wellbeing support. This creates a joined-up approach and helps ensure consistent care for the client. To support this, I use a Strengths and Difficulties Questionnaire (SDQ) which is given to the client (or their parent/guardian) before and after the 12-week intervention. This helps track emotional progress and identifies any continuing areas of need.

At the end of the intervention, I also invite all clients to complete a feedback form. Written feedback is encouraged as it supports my continued professional development and ensures I deliver the best, most ethical practice. All of this information is stored securely and treated with full confidentiality, in line with my GDPR and data protection responsibilities.

When I have safeguarding concerns, I may contact:

• A parent or carer

• The school or setting’s Designated Safeguarding Lead

• The Police, if there is immediate danger

Online Safety Policy

Online sessions are delivered securely using encrypted platforms such as Zoom or Microsoft Teams. Safeguarding and confidentiality apply just as they do in person. No online sessions are recorded unless explicit written consent is given. To ensure emotional safety during online sessions, the client must be in a private room where they feel safe and cannot be overheard or watched by others. While the space should be private, it is strongly encouraged that a responsible adult is available nearby should the client need them. All session content remains confidential unless a safeguarding concern arises. I follow the same safeguarding procedures as outlined above and may contact the appropriate agencies if I am concerned about the safety or wellbeing of a client.

I am ICO registered and adhere to GDPR. No digital session recordings or identifying details are stored unless securely encrypted. Clients' paper-based records are stored in individual folders, locked away in a filing cabinet. These are only accessed by me and are not shared unless legally or ethically required due to safeguarding.

Health and Safety Policy

I ensure that every client receives care in a physically and emotionally safe space — whether at my garden-based wellbeing hub, in school or care settings, or during online sessions. Clients access the Wellbeing Hub through my driveway and directly into the garden. There is no need to enter my home unless a client requires the toilet or a drink of water. Clean and accessible toilet facilities are available indoors.

I hold a valid First Aid certificate and always keep a fully stocked First Aid Kit on site and with me when working elsewhere. Any incidents or accidents are recorded in a dedicated First Aid Book.

To support safeguarding, a small, discreet camera (video only, no sound) is installed inside the Wellbeing Hub. This camera is never intrusive and is solely used for protection during 1:1 sessions. Footage is securely stored and will only be accessed if necessary due to a safeguarding concern.

In SandPlay sessions, I use a Polaroid camera to capture a photo of each client’s created sand scene. This photo is printed instantly and placed into the client’s folder, clearly labelled. The Polaroid camera is used exclusively for this purpose and not for any other images or personal use.

Emergency Procedures

In the event of an emergency while in the Wellbeing Hub (e.g. fire, threat to safety), we will:

• Leave the hub and exit the garden via the side garden gate

• Walk up the driveway and move to the grassed area directly opposite my house, where it is safe to wait

• I will have my mobile phone on me in case we need to contact emergency services or a parent/carer

During sessions, my phone is kept in a drawer, switched to silent, and used for emergency purposes only. If I am delivering sessions in a school or alternative setting, I will follow their onsite emergency procedures and liaise with their safeguarding or senior team if required.

Risk Assessment Policy

Risk assessments are carried out for all settings where I deliver sessions, including my wellbeing hub, schools, care homes, and alternative provision settings, as well as for online sessions. These assessments consider physical safety, emotional needs, equipment used, and access points such as the driveway and toilet facilities.

Each client is given their own personal folder to store anything they create during sessions — such as drawings, sand tray photographs, or notes. These are stored in a locked filing cabinet and are treated confidentially. At the end of the 12-week Drawing and Talking or SandPlay programme, the client is given their folder to keep. From this point, they may do whatever they wish with the contents.

Risk assessments are regularly reviewed:

• Annually

• After any incident or near-miss

• When working in a new setting or with new tools/activities

All tools used in sessions, including Lego, drawing materials, and sandplay items, are age-appropriate, cleaned regularly, and assessed for safety. Emotional safety is also considered — clients are never pressured to talk or share and are given space to explore feelings at their own pace.
